Who we are
Heather Walker Cleaning is a trading name of Heather Amy Elizabeth Glen, a sole trader based in Wimborne, Dorset. We’re the “controller” of the personal information described here, which means we decide how it’s used. Contact us about anything in this policy by email at heatherwalkercleaning@gmail.com or by phone on 07908 558061.
What we collect
Enquiries and quotes: your name, email address, phone number, company, the property’s address or postcode, details about the building, and anything you tell us in your message. When we visit a site to quote, we photograph the communal areas, not people.
Clients: contact names, work email addresses and phone numbers for managing agents, directors of residents’ management companies and business clients, plus billing details, cleaning specifications, our correspondence and the access details you give us, such as key, fob or door codes.
Residents and visitors: your name, contact details and message, if you contact us or report something to us.
Cleaners who work with us: name, contact details, references, insurance and certification details, and the bank details we pay them to.
Website visitors: see Cookies below.
How we use it, and why we’re allowed to
Replying to enquiries and preparing quotes: steps you’ve asked us to take before a contract, or our legitimate interest in answering business enquiries.
Providing our cleaning services and managing contracts: our contract with you, or our legitimate interest in running the contract where your organisation is our client.
Arranging site access and keeping people safe: legitimate interests, and legal obligation for health and safety records.
Invoicing and keeping accounts: legal obligation (tax and accounting law).
Working with our cleaners: our contract with them, and legal obligation where the law requires records.
Website analytics (Google Analytics): your consent, given through the cookie banner.
We never sell your information.
Who we share it with
We only share what’s needed:
our subcontracted cleaners, who need site addresses, access details and site contacts to do the work
the managing agent or client for the building, when we report issues or send photos and records
the providers that run our systems: Squarespace (this website and its forms), Google (email, website analytics, spam protection on our forms and our Business Profile), Intuit QuickBooks (invoicing and accounts), Dropbox (document storage) and Site Audit Pro (site surveys and quotes)
our insurer and insurance broker if there’s a claim, and professional advisers such as an accountant
HMRC, the Health and Safety Executive or other authorities, where the law requires it
Transfers outside the UK
Some of these providers store or process information outside the UK, mainly in the USA. Where they do, the transfer is protected by safeguards approved under UK law, such as the UK–US data bridge or approved standard contract terms.
How long we keep it
Enquiries that don’t go ahead: up to 3 years after our last contact
Client and contract records: while we work together, then up to 3 years
Invoices and accounting records: as long as tax law requires, which is at least 5 years after the 31 January Self Assessment deadline for the tax year they relate to
Accident and incident records: at least 3 years
Cleaners’ records: while they work with us, then up to 3 years (payment records are kept as accounting records)
Website analytics: up to 14 months
After that, we delete or securely destroy it.
How we keep it safe
We keep information on password-protected devices and accounts, share it only with people who need it, and give cleaners access details only for the sites they work on.
Your rights
You can ask us to:
give you a copy of the information we hold about you
correct it, or delete it
limit how we use it, or stop using it, including for marketing
send it to you or another organisation in a portable format
stop using it where we rely on your consent (for example, analytics cookies)
To do any of these, contact us by email or phone. We’ll reply within one month. Some rights have exceptions: for example, we must keep accounting records even if you ask us to delete them.
Cookies
Our website is hosted by Squarespace, which uses essential cookies to make the site work, keep it secure and remember your cookie choice. With your permission, we also use Google Analytics cookies to understand how people find and use the site. These are only set if you click Accept on the cookie banner. You can change your choice at any time with the Cookie Preferences button at the bottom of every page.
Complaints
If you’re unhappy with how we’ve used your information, please tell us first using the contact details above. We’ll acknowledge your complaint within 30 days and tell you the outcome without undue delay. You can also complain to the ICO, the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
